Event Study Trip 2015 @ Changi Airport

Pre Event
We were given the opportunity to plan for an event study trip for the whole EMRS team. We started planning for this event 2 weeks in advance, 29 September 2015. Prior to the actual date, we went to different places such as the Airforce Museum, Sentosa and Changi Airport to find out if they were suitable for hosting our event.

One of the challenges we faced while planning for the study trip is the haze condition. Our initial plan was to head to Sentosa for a Fort Siloso Tour, however, the haze condition worsened and we had to scrap that whole idea! We were halfway through with the planning and we were only a week away before the actual event date. We overcame it by researching for other iconic locations in Singapore.

Our final choice was narrowed down to Changi Airport as it had a large indoor space for games. We then headed down to Changi Airport for a site visit to plan an amazing race there.
These are some of the places we shortlisted for the games when we went for a site visit.

While we were walking around Changi Airport, we came across the different SG50 exhibitions all around the airport. Thus, we decided to incorporate the information from the exhibitions into the games stations. We came up with the idea of a form of an amazing race so that it will make it entertaining and educational.

This is the game station that the teams were required to get answers from.

After collating all our photos, we headed back to school to continue planning the games. We had randomized groupings for each team so as to allow everyone to get to know members of other teams better!

Just as we thought that that there would be no other problems, another problem came up! The SG50 exhibitions in Changi Airport will be taken down on 30 September! Thus we had to shift forward our event by 3 days, shortening our planning time. Despite having to plan the event in 4 days we managed to pull it off with everyone’s contributions!

Event Day
On 29 September 2015, the whole EMRS team met at Changi Airport Terminal 2 near Starbucks at 10am. After briefing everyone and sorting them out to their different groups, we kicked off the amazing race at 10.30am sharp.

Things happened too quickly…
Most of the teams completed 8 of the 12 missions given to them before lunch. Hence, at 11.30am we had a time freeze for everyone. During the time freeze, each team was required to answer questions and to do a skit about it!!

Hello Mr Sudesh!

Everyone went for lunch break with their teams at 12pm. After the 1.5hr lunch break, the amazing race resumed and all the teams dispersed and went on to their next mission.

Post Event
After an exhilarating 5 hours in Changi Airport, the first team that reached the final destination consisted of Darryl, Melissa, Alson, Han Ming, Yao Su, Kai Qin and Regena! The rest of the teams arrived minutes after that, looking very tired as they all had a long day in the airport.

Our lovely EMRS team

After everyone had arrived at the meeting location, we all headed upstairs with our 4 supervisors for a prize presentation! All teams received prizes as we wanted to reward them for their hard work and enthusiasm the whole day. It was then followed by a short debrief from our team and supervisors. Everyone seemed to have enjoyed the amazing race despite not being the winning team and it has definitely created a stronger bond among all the teams!

Mid Autumn Sales Event 2015 - Team 4

Annual Mid-Autumn Festival Sales

Date: 8-10 September 2015
Time: 11am to 5pm
Venue: Block A, Level 2, outside D' Studio
Objective: Promoting the custom of consuming Moon-cakes during the festival by bringing the convenience of purchasing to school.

Planning
We started planning for the event from 27th August 2015 and managed to confirm our moon-cake vendors by 1st September 2015. We sourced for another new brand, Gin Thye, to the existing three brands from 2014. In addition, we decided to sell tea as a complementary product and managed to get Teapal to work with us. After the vendors were all confirmed, our marketing team begin to design and create our A&P.

Pre-event preparation
1. Fixtures
our team wanted to use the poster stands from the logistics room however they were old and scratched so they would not look nice if we were to use it for our booth. Our team came up with a solution to buy black spray paint and sprayed it black.

2. Decorations
We came up with this design (color scheme and banner) as we felt that it suits the mid autumn concept and the lanterns were colorful which brightened the overall booth.

Execution

These are the list of tea benefits.

This is the catalogue for our moon-cakes and tea samples.

We had seven tea samples which we served in small plastic cups throughout the event.

These are the Bakerzin samples which included our best selling product called the Mini Momo Collection (the top row in the picture above)

These are the Thye Moh Chan's samples which consists of Sweet, Salty Tau Sar, Teochew Double Delight and Yuan Yang.

These are the Gin Thye's samples which consists of 8 Treasures Walnut and 8 Treasure Yam moon-cake.

Our team mate, Sonia, was cutting moon-cake samples.

Our team mates promoting tea products to a staff.

We decided to create an extra booth stationed outside Koufu to promote the Crispy skin products on the last day, 10th September 2015 (Thye Moh Chan and Crispy Yam).

Mobile Promoters
We knocked on every door of the lecturers' room, bringing along mooncake samples with us. This made it more convenient for them to purchase our products. To make it easier for the lecturers, we even made deals on the spot and paid for them directly at D'Studio. We realised that it is also because of this method that led to a large increase of sales.
Sales Performance
On the 15th September at 5pm, we closed orders and did a final collation of sales.Team 4 made a total sales of $5325.50, 108 boxes of moon-cakes and 27 boxes of tea.

Collation of orders and emailing to vendors
We collated the orders by combining all orders in an excel sheet. After all orders are checked repeatedly by various members of our team, we then emailed our orders to the various vendors.

Delivery of orders to school
The orders are all delivered on the 21st September 2015, during different hours of the day. Firstly, Teapal delivered their products to us promptly in the early afternoon. It is then followed by Gin Thye, then Breadtalk & Thye Moh Cham. However, the delivery of  Bakerzin mooncakes are a little delayed but it was still a smooth process in receiving the goods. We double-checked the quantity of our products on the spot and all of the goods are in good condition.

Distribution of Moon-cakes and Tea
We had a collection room at B409 where our customers can go directly to the room to collect their orders. Alternatively, our customers can also opt for room delivery where we delivered their mooncakes and tea directly to their rooms. We went into different teams to deliver the mooncakes and tea to the various blocks in school.

This is one of our satisfied customers who opted for room delivery.

Conclusion
In conclusion, it was a successful event where everything went so smoothly. This is also a very insightful event for all of us. We get a picture on how events are planned and executed. We have indeed learnt a lot of hands-on and practical skills that can be applied in our future career experience. This event also bonded us together as we worked towards the sales target that we had and eventually, achieved more than what we have expected. We would like to thank Ms Yong and Ms Choo for their constant guidance and suggestions that helped to make this event such a successful one.

Mini Roadshow: Eat Good Feel Good

This mini roadshow took place during the school holidays on 22 September - 23 September 2015, from 10.30am to 3.30pm.

The objectives of this event are:

  1. To have hands on experience on planning and managing a small scale event
  2. To enhance greater teamwork among Team 3 students
  3. To provide a good opportunity to work with extreme clients

 We worked in collaboration with:
- Selling sugar free pre-biotic ice creams

and

- Selling healthy fruits & nuts that can be added as toppings for the ice-creams

Pre-Event Preparation

Initially, our roadshow was to be held on 9th September. However, due to the short time frame given, we were unable to find suitable vendor. Hence, our event was rescheduled to 2 weeks later.

We based our theme on the latest trend - Healthy Lifestyle; and started looking out for vendors who were able to meet our requirements.

As we were only given $20 budget, we tried to minimize our expenditures by reusing the materials from previous events. Therefore, we used handmade roses as part of décor.

As our first banner was not up to standard, we decided to change it to a better one.

Location:
One of the major challenges we faced during this event roadshow was the ongoing haze situation. Initially, we wanted to hold it outside the old MSC as we felt that it would attract a bigger crowd to our booth. However, due to the worsening haze condition, we had to hold our event on two different locations: Old MSC on Day 1 and D'studio on Day 2.

Event Day
Day 1:

Starting the day right with positive vibes! :)

Our team members worked real hard during the preparation for the booth layout.

Introducing our FINANCE head...

To create a greenery effect, we used crates sponsored by Guiltfree with grass patches at the bottom.

We had 3 mobile selling teams to cover different blocks in NYP. Each team consisted of 3 members, 1 carried the sandwich board while the other 2 handled the inventory and finance respectively. Apparently, the mobile selling teams had better response compared to the booth.

Day 2:

Even though there was a change in location, the set-up was considered pretty smooth-sailing. Due to high unexpected sales on Day 1, we had to contact our suppliers for replenishments.

Mobile Team C on their way to SIT blocks to promote our items!

All in all, our team managed to exceed our initial sales target of $600 and achieved a total sales of $2300. We learnt that with the right mindset, proactive attitude and teamwork, it is possible to overcome all hurdles and achieve the unexpected!

Although, our sales might have been even better if we have sold N95 masks during this hazy season. ;-)

   With lots of love,

EMRS TEAM 3
