NETS Flashpay Roadshows by EMRS Team 2

We were assigned to execute the NETS Flashpay Roadshow on the 22nd – 24th January 2014.  The event was located at MSC Shopping Arcade and was held from 10:30AM to 4:30PM.

So what is NETS FlashPay?

It is a multi-purpose stored value cash card that can be used for a huge variety of quick payments, such as; transportation, selected retail outlets like NTUC and Cheers, and even for ERP. The purpose of conducting this roadshow is to gain awareness of the NETS FlashPay card among lectures and students of NYP and to promote the usage of the card within the school.

Planning

Before the roadshow, the OIC assigned the team members into different roles such as designing the posters, doing the logistics and doing the finance.

We came out with several marketing tactics to help out in the promotion. One of it is to create a mobile posters that we will be bringing around NYP while giving out flyers. The other is a visualize posters with 3D effect on the card which we will be displaying it around the school with high traffic of students such as the atrium and all 4 canteens in NYP.

For the logistic team, they are required to liaise with the NETS Flashpay in-charge on matters such as how many staff are coming, what are the logistic stuffs that they will be bringing with them such as posters, printers or laptops. With all the information given, the team can proceed with booking the venue and preparing logistic fixtures.

Day 1

On the day of the event, we were excited to start the event by setting up the booth and to place all posters around the school.

Setting up of the booth

The different posters at the atrium and canteens around the school.

After setting up, our 3 groups of mobile marketing set out to the different areas of the 7 schools of NYP to give out flyers and to promote the event and getting the crowd to come to the booth.

We managed to give out all the flyers allocated for the day, however we’ve found out that many of the students and lectures were unaware of the roadshow, many people did not know the functions of the card, and some of them felt that it serves similar functions to EZlink card, hence they were uninterested in it. Therefore the sales of the day was relatively slow.

Day 2

Since the previous day’s sales were quite slow, we changed our promoting plan, this time we increased our focus on all the 4 canteens, in addition to the 7 schools. This way we managed to increase the awareness about the existence of the card.  Places like Koufu and McDonalds were our main attractions as this is where NETS Flashpay card can be used in NYP and it will be easier for us to convey the information to the students.

We also encourage students to come to our booth with the flyer given to claim for free gifts (Free red packet from NETS), with that marketing tactics, the sales for the second day improved.

The rest of our group members were also working diligently.

   Day 3

On the last day of the roadshow, some of us deployed ourself outside the shopping arcade to draw the crowd to the booth. With intensive promotion we did on the past 2 days, our sales increase on the last day and there were more crowd on that day. The booth were crowded since morning, so we deployed some members to help out with the crowd control at the booth.

At the end of the day, we clear the venue area while the logistic team went to collect all the poster stands to keep.

We received compliments from the NETS Flashpay staff and we were satisfied with our performance as we managed to surpass the NETS expected sales even though there is no sales target mentioned. There were many challenges we faced during the planning such as limited time to plan and challenges during the first two days of the roadshow such as declining customers, we were proud with the achievement we gain after the event end.

“Full Of Cheers” Mini Roadshow by EMRS Team 3

On 7th February 2014, EMRS team 3 organised a mini roadshow outside MSC Studio. We sold varieties of products that were taken from Cheers. The products included Pokka Green Tea, Pokka Milk Tea, mineral water, Pocky, Pepero, Hello Panda, Mentos, Hi-Chew etc.  The event started at 10.30am and ended at 3.30pm.

Planning

For this mini roadshow event, our team was given about a month to plan. Our OICs for this mini roadshow event were Ting Ting and Hazel. Geraldine and Jessica were in-charge of the Logistics, while Eng Kiat and Jason were in-charge of the A&P, and Isabel was in-charge of finance.

To start off the planning of the event, our team had to come together to decide on a theme. After much discussion and deliberation, we decided to use a cheerful slogan “Full of Cheers”.

We came up with various display props for the products and even placed posters where there were high traffic such as the atrium, ATM, outside Cheers etc.
Went down to Cheers to check out the product price, code, name and promotion.

Everyone was enthusiastic to complete the banner for the booth.

Executing

On 7th February 2014, our team shifted our products stored at B.409 to the event venue. We had a lot of products to be displayed and hence took quite a while to finish arranging all the products.

We kicked off the event at 1030 am. We had booth selling and mobile selling. At any point of time, we had about 4-5 people standing at the booth while the rest were off mobile selling to various parts of the school.

Let's move down and get ready for the event!

At the end of the event!

Through this mini roadshow, we experienced how to plan an event from scratch and to work as a team.  We learnt how to think and work like an entrepreneur. In addition, we realized that no matter what tasks we were given, teamwork and communication are very important. From planning to executing, our hard work paid off as we managed to hit our sales target!

Chinese New Year Event
Chinese New Year is a period which everyone can relate to the delicious and mouth-watering goodie such as Bak-Kwa and cookies, hence our team was tasked to sell these goodies like past years, to the students and staff of NYP.
The event was a month long event, with preparations starting from our first week at EMRS till 24th January 2014. There was a sampling exercise on the 13th and 14th January to allow customers to try the products that we were selling.

Planning Stage
Our team had 2 different sub divisions, and they were in charge of advertising and promotions, and also the logistics matters of the event. As the previous team of students had already started liaising with the suppliers, the 2 OICs of the event had to follow up with it. We had to work with 3 different suppliers and they were:
·         Fragrance
·         Cookie Tree
·         Family Pastry
Fragrance
Fragrance had been working with NYP for a period of time, thus it was relatively easy for us to work with them again. We managed to negotiate a consignment pricing that was favourable for both parties and requested for some samples for our 2 days of sampling events.

Cookie Tree
This supplier was from Ms Choo, and she had met the supplier previously. As this was a totally new supplier which we were working with, we had to brief them on the school’s 30 days credit policy and other details that needed to be worked out. Once they were comfortable with our policies, we proceeded to work out the consignment price and also requested for some samples from them to be given to our customer on our 2 sampling days.

Family Pastry

Like Fragrance, our school had worked with Family Pastry previously. Even though there were some hiccups during the negotiation process, we managed to resolve it.
The logistics team planned on the manpower list and the needed logistics for the event which included items such as poster stands and tables.
Meanwhile, the advertising and promotions team managed to put up a nice poster for our event together with the help of Ms Choo. A mass email was sent out to everyone! They also brainstormed for ideas on how to decorate the booth for sampling.
After everything was finalized, we briefed the MSC students on how to process the payments for us as we were partnering for this event!

Execution Stage
Our execution stage was mainly during the sampling period, in which we tried to reach out to the students and staff to try and get them to buy our products. There were 3 different groups, in which 1 group was be in charge of manning the booth while the other 2 groups did mobile selling.

We stopped taking in orders on the 17th January and the goods were delivered to us by the suppliers on 21st January!

All the goodies waiting to be packed and delivered!

We sorted the orders by block and called the staff to find out a convenient time for us to deliver their orders to them.
Our team was split into 3 different teams for delivery as we grouped those blocks that are near to each other together into 1 trolley. We also have different shifts throughout the day as the staff had different preferred timings. As for the students’ orders, self-collection would take place at B409 from 9am to 5pm.
Our deliveries and self-collection took us 3 days, from 22nd January to 24th January.

Conclusion
Overall, it was a very enjoyable event and our team managed to exceed the sales target of $12,000 in fact, we made an overall sales of more than $15,000 throughout the entire sales duration!
One of the most important lesson that we had learnt throughout this event was the importance of teamwork. As this was a relatively large event, it was very hard for the event to run smoothly unless we split the work properly and work nicely together as a team.
