EMRS Customized Study Path Year 2016 Semester 2

EMRS TEAM 2 PRESENTS


Team 2 was tasked to plan and execute the 2016/S2 Customized Study Path(CSP) on 6th October 2016

Our objectives was to provide guidance
and assistance to students who are planning their modules/ timetable whilst ensuring that the procedure remains smooth. We also aimed to :
  •   develop team work and enhance communication skills of students in real life setting of a work environment,
  •   train to be observant in their surroundings and understand importance crowd control management,
  •   platform for students to acquire problem solving skills when facing unforeseeable circumstances.
After setting our objectives clear, we decided to do a vote to appoint the Overall-In-Charge and respective roles of the CSP. After much discussion, and revotings......... we decided on the roles of each team members:

Advertising & Promotions: Jolynn & Vanessa
Manpower: Yi Huai, Sherrie, Bryan, Isaac, Claudia, Jia Wei, Yi Huai & Yu Xuan

Planning/ Preparation Stage

During the planning stage, we had different tasks to be done relevant to each area, from manpower allocation to the procedures on how students will be going throughout the event. Advertising & Promotion team was in-charge of the queue numbers and the signage required during the event. We included the  procedures of CSP on the back of the queue numbers.

AICs were in-charged of manpower allocation for pre event, event day and teardown, and also the layouts of the rooms.

3rd October 2016
AICs incharged of Blk B and the crew that were assigned to Blk B went through the training of CSP to familiarize with the construction of the timetable.

After lunch, Hazirah and Wei Lun briefed both Team 2 & 3 on CSP so everyone will have a better understanding and also to clarify any doubts. Thankfully everyone understood their roles clearly. 

Dry Run & Set Up
5th October 2016
One day before the event day, we had a pre-event set up and prepared the rooms according to the layout designed. The guys in the team helped in placing the signages.











We also placed the signage a day before so we would not rush the very next day.

The set up starts right after lunch. We started off with the first room, D510; we took a much longer time setting up in the first room than the rest of the rooms. 

During the set up and dry run, we learnt that it was important to do a dry run as during the process we could come up with possible problems that may arise during the event such as having limited space, amount of chairs and if the students would have to re-construct the time table. On top of that, some room layouts were changed due to the unforeseen circumstances

We wrap up and finished the set up and dry run within 3 hours.



Event Day
6th October 2016  
Both Team 2 & 3 reported at 8:00am in our EMRS shirt. OIC, gave a short briefing before the 2 teams head to their respective venues at block D and block B.

Block B

At 9am sharp, students started pouring in, and things got hectic.

From 9am to 10am, was the peak period and the 2 labs were full, we were running around helping as much students as we can. That was enough cardio for the day!

Post- Event

After CSP ended, everyone rearranged the rooms back to their original positions and           clear any litters at Block D, while the students at Block B helped clear any litter at the computer labs and shut down the computers.

Debrief
During the debrief, we went through things that went well and can be improved on. We are thankful for the overwhelming response from Team 3! Once again, thank you Team 3 for helping us!

PROBLEMS FACED

Block B

  • Students unfamiliarity of the online registration site
  • Teachers in the labs were unfamiliar with the module registration of procedures
  • Not enough manpower during the peak period

Block D
  • Requested logistics from teachers were not given such as staplers.
  • Signage for registration was too small
THINGS THAT WENT WELL

Block B
  • Backup and Floater assisted the Lab In Charge during peak hours
  • Student assistants were well informed of the registration procedures
  • Despite the high traffic during peak hours, student assistants were calm and patient with the students
Block D
  • The use of whatsapp as a form of communication was smooth
  • The adaptability of everyone.
  • The efficient registration system.
  • Teardown of rooms were quick and even the rooms with heavier tables were completed in less than 7mins
  • Tear down and rearranging of tables and chairs to original position were much quicker than pre set up 

Conclusion

"anything that can go wrong, will go wrong" -Murphy's Law

Overall, there were many challenges we faced throughout the event but we managed to overcome them and enjoyed the event. We learnt that no matter how detailed we planned the event with risk managements, there will always be unexpected issues that would arise during the actual event hence we have learn how to overcome them without panicking.

EMRS TEAM 2 - TIMELESS SKINCARE

EMRS TEAM 2 PRESENTS


Team 2 was tasked to organize a mini roadshow on the 4th week of  EMRS, 21st and 22nd September, 10:30 AM to 4:30 PM.

Our objectives:
  • First hand exposure & experience setting up an event
  • Develop communication and negotiation skills
  • Promote awareness of good skin care practices



We aimed to have a consignment deal and our targeted sales of the road show is $1050.

The team started planning in week 2 of EMRS, where we assigned the roles for the event.

Next, we cracked our brains for a suitable theme & products to sell during the event--
We suggested a few different types of products for the roadshow such as, childhood snacks, hand sanitizes and even cosmetics.

MINI ROADSHOW THEMES/ PRODUCTS PLANNING 


1) ColourPop Cosmetics
We were actually all so excited to proceed with the idea of selling Colourpop Cosmetics. Colourpop Cosmetics has been the current hype in Singapore as it is the most affordable and pigmented product which ranged from matte lipsticks to eyeshadows. 


However, there weren't any distributors in Singapore as it was from US. 

2) Childhood Snacks
Childhood Snacks was an idea that was popular among the team and was believed to appeal to our proposed target market - students. However, Mr Sudesh suggested that having food as a theme for our mini roadshow was cliche and boring hence we decided to improvise.

3) SKINCARE
With the arising haze problem and people mentioning how dry their face is getting, we came to a conclusion to sell facial masks.

After searching through the web for a suitable company, we found, Beauty Colony, who was willing to do consignment and have worked with NYP students before. On top of that, the prices that we have set were marked 15% below market price! We ordered many brands such as Nature Republic, Innisfree, Forencos 7 Days Mask, Mediheal and SkinFood.  

The finance team calculated the estimated profits and relevant costs for the roadshow.



The A&P team designed many posters and flyers and consulted Ms Choo and requested for the team's vote in choosing the BEST suited design.

During the preparation process, the A&P team produced the banner and design layout of the booth together with the help of Logistics team. The banner was made out of colored papers which was similar to the ones in our poster.

The Logistics team came up with a detailed log sheet to ensure all the goods can be accounted for before, after and during the roadshow

DAY 1
Our team reported at 8.30am in the morning where we took the first hour recounting stocks, start of day cash and packing of logistics and inventory before heading to the booth location (Outside D'Studio).

At around 9:30am - 9.45am, we began setting up our booth. The banner was set up by the A&P Team, while the placement of table and posters were set up and placed by Logistics team and AICs. The POS on the other hand were set up and prepared by the Finance Team with Ms Choo's assistance.

After the setup, we were briefed by the OIC, followed by Mr Sudesh. By 10:30amwe were ready to deploy the 3 mobile selling teams and the opening of the mini roadshow.

4:10pm: We started recounting stocks and sales. The logistics and finance team carefully counted and even recounted multiple times to avoid discrepancies.
4:30pm: We started tearing down the booth and by the end of the day, we had zero discrepancy in sales and inventory for Day 1!

We ended the day with a debrief by the OIC, along with suggestions on things to improve the following day and the things that went wrong.

Day 2
The team reported to the EMRS room at 8.40am to collect the goods and banner before heading down to the venue. Some of the guys from the team head down to the fixtures room to collect the fixtures we needed to run the booth.

By 9.45am, all the things needed to run this roadshow were at the venue, we took 20 minutes to set up the booth and count the money for the cash register and mobile selling.

By 10.45 am, the booth have been set up and the team have a short briefing hosted by the OIC and followed by a motivational speech by Mr Sudesh.

We took a much faster time on the second day as we were familiar with what to do.
By 10.20am, we were ready to open the booth for sales and the mobile selling were ready to set out to their respective location.

Following the day before, by 4.10pm, we started recounting stocks and the mobile selling teams headed back to return the money and leftover stocks. 

By 4:30pm, we started tearing down the booth and returning everything to its respective places.

We were happy that we had zero discrepancy in sales and inventory for both days!
The event was a success even though we did not achieve sales target. We achieved our objectives as we received many positive feedback from our customers about the products and some were aware of the importance of good skin care practices. At the end of the roadshow, we achieved a total of $918.50, most of the sales was from the face masks. Despite not achieving our sales target, through this event, we gained planning experience and learnt the importance teamwork and dealing with suppliers. Most importantly, we became more bonded with each other as Team 2 are more understanding towards each other.
